POSITION PURPOSE

Inbound / Outbound Traffic Coordination + Customer Service Backup

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Traffic Coordination / Logistical Support for Customer Shipments and Inbound Freight

  • Organize and schedule inbound raw materials and outbound protein shipments as needed to fully service plant operational and in support of customer needs
  • Assist with coordination of all freight providers as needed, including outbound protein and co-products shipments as well as relevant inbound grain or other materials as needed. Track availability, negotiate rates and lanes, asset needs, and timelines as needed.
  • Coordinate with customer service to efficiently arrange for needed outbound freight needed to satisfy customer delivery requirements, ensuring customer understanding and alignment.
  • Develop productive customer working relationships, provide follow-up on shipment status, conflict resolution, etc. Troubleshoot and resolve problems using Commercial & Operations leadership as needed.
  • Participate in periodic negotiation of freight rates – gather and assemble bids, coordinating with Management on responses, documentation, etc. as necessary
  • Coordinate shipments of maintenance-related items or equipment that are shipped out for needed repair and assist the tracking of inbound parts, etc. as needed in support of plant operations

Customer Service / Order Management Backup

  • Assist with organizing, entering, creation of load sheets, and shipment scheduling as needed to fully process inbound orders.  Track on-time delivery / service metrics via the GP system.
  • Provide backup for resolution of customer inquiries, responding efficiently and accurately to ensure customer satisfaction.  Support procurement and Feed Products Merchandiser functions as needed to ensure efficient operations.
  • Verify and maintain account information is up to date, current and accurate to meet internal requirements
  • Develop productive customer working relationships, provide follow-up on order status, receivables, etc.
  • Coordinate incoming customer demand with Manufacturing to help ensure predictable, stable shipping schedule

Internal / External Communications

  • Provide thorough and accurate communications to all stakeholders ensuring that relevant information is promptly and properly conveyed
  • Provide timely and accurate order updates to customers, ensuring that order-specific changes, issues, etc. are clearly understood by the appropriate contact(s)
  • Serve as part of the customer-facing team in resolving order-related issues.
  • Ensure inbound customer correspondence is directed to the appropriate PureField contact (QA, Sales, etc.) in an accurate and timely manner.

Sales and Administrative Support

  • Provide general administrative support by entering, formatting, and printing information, organizing work, answering the telephone, relaying messages, maintaining equipment and supplies.
  • Understand and be aware of the weekly S&OP process, ensuring relevant data entry is up to date and accurate when needed.
  • Have the ability to facilitate collections activity against the aging report and accounts balances against approved credit limits, as needed and required by Finance.
  • Gather and complete necessary documents to set up new customer accounts and maintain current ones, including initial credit review and other forms required by Finance.
  • Understand and follow all SQF and FSMA policies.

QUALIFICATIONS

SKILLS AND QUALIFICATIONS:

  • Well-developed organizational ability
  • Proven experience in external-facing situations, ability to effectively interact with broad base of internal and external stakeholders
  • Experience working in the transportation industry, preferably within a regional / national company, with familiarity of various OTR and rail-based shipment modes.
  • Detail oriented, with good understanding of which items are critical to success
  • Strong Problem-solving orientation, ability to analyze a situation and assess alternatives
  • Strong Verbal and Written Communication skill
  • Ability to work and function effectively as part of a broad based, multifunctional team
  • Solid understanding of data entry, computer programs and general math skills

 

EDUCATION AND EXPERIENCE:

  • High School Graduate or GED, Associates or bachelor’s degree preferred
